Review Your Bank Register

Navigate to Accounting → Chart of Accounts → View Register. Scan the account for identical transaction amounts, matching dates, and repeated payees. These stand out quickly to the trained eye. Regular register reviews are a cornerstone of maintaining structural financial integrity.

Check Bank Feed Transactions

Head over to Transactions → Bank Transactions. Look closely at recently imported items. Run a Transaction Detail Report

Go to Reports → Transaction Detail by Account. Narrow the date range and sort by amount, then by vendor or customer. Sorting by amount is one of the fastest ways to force duplicate anomalies to the surface. When you see two identical payments to the same vendor on the same day, you know exactly where to investigate.

How to Safely Remove the Extras

Before clicking delete, ask yourself: Is one of these already reconciled? Is one attached to a specific bill, invoice, or receipt file? Always keep the version with the most complete documentation. Deleting a reconciled transaction will throw off your entire reconciliation history, creating a much larger headache.

If you are dealing with a manually entered duplicate, open the transaction, select More, and click Delete.

If the duplicate is sitting in your bank feed, simply select the transaction and choose Exclude. This prevents QuickBooks from pushing the error into your permanent ledger without deleting the raw bank data.

After your cleanup, run a fresh Profit & Loss statement and Balance Sheet. Verify that your account balances align perfectly with your actual bank statements.
